The Coordinator is responsible for calling and arranging volunteers to assist the Master Carpenter in set building and painting. The
Master Carpenter will assign dates and times for construction and painting. Volunteers must be contacted by phone first as soon as
possible, and then notified by email as a reminder, and phoned again two days prior to each date. Volunteers for these jobs often
forget to show up, so keep in touch with these people to ensure you'll have plenty of help.
To obtain a list of past set building and painting volunteers, contact a CHP officer. Additional volunteers can be recruited from the
Audition Forms and their families. If someone is not assigned a part in a production, encourage them to still be involved by recruiting
them to volunteer.
Building & Painting Timetable:
- 2-3 months before: This is the planning period. The set design should be finished, approved by the Director, and coordinated with the
Lighting Designer and Master Carpenter. You should be aware of the budgeted amount. Meet with your Master Carpenter, schedule
building sessions and painting sessions, and recruit a set and light crew. Make sure the Director and the Music Director includes set
put-in on the rehearsal schedules for both the cast and orchestra. Remind the Director that everyone in the cast is expected to spend
at least four hours at put-in.
- 6 weeks before: set construction begins.
- 1-3 weeks before: continue set construction and painting.
- Put-in: this is a long day and the Technical Director (TD) should be present from start to finish. The TD's main function during put-in
is to act as manager. The Strike Foreman should be present as well.
- Around lunch time, arrange to have food provided to the workers. This expense is part of the show budget.
- Strike: usually begins immediately after the closing performance. The Strike Foreman assigns jobs and manages the removal of the
set.
